Google Classroom vs a school SIS

Google Classroom excels at classwork and rosters; a school SIS owns enrolment, fees, attendance, exams, and official records — how they fit together in 2026.

Many schools adopted Google Classroom during rapid remote transitions. It worked for assignments and links. Then finance still lived in Excel, registrars maintained a separate master list, and principals asked for report cards that Classroom was never designed to produce. The question is not “Classroom or SIS?” — it is which system owns which truth.

What Google Classroom is built to do

Classroom is a classroom workflow tool inside Google Workspace:

  • Share feedback with students

The “Classroom as SIS” failure mode

When Classroom alone might suffice

Very small supplementary programmes — short courses, no formal reporting, no fee complexity — might operate with Workspace and spreadsheets temporarily. The moment you issue formal report cards, collect term fees, or answer to a board, you have outgrown Classroom-as-SIS.

Virtual/hybrid campuses still need enrolment and results integrity even if delivery is online.

Evaluation questions for leadership

Ask any vendor or internal IT lead:

  1. Where is the authoritative class list when Classroom and finance disagree?
  2. Who generates the PDF report card parents sign at university counselling?
  3. Can we send a WhatsApp fee notice from the same record as attendance? (WhatsApp notices)
  4. What happens when a student withdraws mid-term across all systems in one action?

If answers involve manual CSV, you have a gap.

Migration and coexistence

Schools already deep in Classroom should not rip it out to prove SIS loyalty. Sequence:

  1. Stand up SIS people and class data
  2. Enable roster sync to Classroom
  3. Move fees and attendance to SIS
  4. Retire shadow spreadsheets
  5. Train teachers: “Assignments in Classroom; marks for report cards in SIS exam module”

Device policies in BYOD environments

Students on personal Chromebooks or family iPads may access Classroom easily while struggling with SIS portal passwords. SSO reduces friction but does not remove need for guardian accounts separate from student Workspace logins. Train helpdesk on which system owns which password reset.

Marks sync: set expectations

Classroom assignment grades do not automatically become formal exam session marks unless you design that flow. Many schools want teachers to enter summative marks in the SIS exam module while formative work stays in Classroom. Publish that policy so teachers are not double-entering every quiz.

Long-term ownership

Assign a roster owner (registrar) and a Classroom admin (IT). Quarterly audit: orphan courses, leavers still in Classroom, guardians missing from SIS. Without ownership, integration drift looks like “the sync is broken” when enrolment discipline slipped.

Can we drop the SIS if we buy Classroom add-ons?
